Permit Expiration Notice

Any company will in some way or another involve the use of permits throughout their business, items such as elevator permits, health permits, or food and beverage permits. Permits regularly have an expiration date, thus Central will manage all permits within an enterprise. Central will create cases requesting permits be updated near their expiration date to ensure that no company operates with any expired permits at any time.

User Experience:

  • CAST generates a case when a permit is set to expire soon
  • Employee responsible for renewing is assigned case
  • Employee consults Standards for proper renewing procedure and certification requirements
  • Once renewed, copy of new permit is logged in Entities and associated appropriately
  • Reports are generated showing new up to date permits and their expiration dates
  • Reports can be analyzed by mangers in order to follow up on cases not resolved and nearing expiration date

Functional Setup:

  • CAST must be configured to run whenever a permit's expiration date is approaching
  • Case type for permit renewal must be created
  • Instructions on how to and the requirements for renewing a permit must be created and documented in Standards
  • Entity type of for permits must be created including category for type of permit
  • Reports must be created which tracks all permits and their current expiration dates along with pending renewal cases assigned to employees
  • Employees must be associated with their respective permit responsibilities in Departments

Best Practices:

  • Ensure to allow enough time between CAST and permit expiration date in order for employee to have plenty of time to renew case
  • When permit is renewed ensure that new CAST is created for the next time the permit is set to expire
  • If permit is not to be renewed, ensure that CAST is no longer set up to create a case for renewal for that particular permit
